The Play by Play Festival is a rapidly growing event on the ANZ circuit, fueled by the crack team of enthusiasts behind it – and we’d love for you to join our party parrot-loving crew! We’re currently accepting applications for festival committee members to assist us in putting on the 2019 festival, and also introducing a number of new roles to the committee to reflect our growth.

While most organisation will take place largely around December 2018 -> January 2019, committee members will be part of an informative Slack channel from late July until the event runs. Please note these are volunteer positions.

The deadline for applications is July 23rd.

Workshop Coordinator:

The workshop coordinator will be responsible for organising the game development and programming workshops during the Play by Play Festival week. These workshops may be for many age groups (kids, teens, adults) and the position will include liaising with workshop partners for the festival with regards to logistics, content and workshop runners.

The workshop coordinator would be taking ownership of the following responsibilities:

► Sourcing appropriate workshops (and/or teachers for workshops)
► Creating the workshop schedule for the week
► Liaising with workshop partners and venues
► Communication between workshop teachers and attendees
► Managing sign-ups and workshop numbers
► Coordinating with the directors and the Social Media Manager regarding potential overlap (sponsors interested in running workshops) and promotion (adding workshop plugs to our social media schedule, information copy etc.)

Helpful skills:
► Previous event management or people management experience
► Familiarity with creating schedules
► Strong copywriting skills

Judging Coordinator:

The Judging Coordinator will be responsible for overseeing and executing the 2019 Awards judging process. This role encompasses many stages, from the call for nominations until the finalists are decided.

The Judging Coordinator would be taking ownership of the following responsibilities:

► Tuning the entry forms and judging materials
► Sourcing judges for the judging panel
► Maintaining a good, open communication channel with judges during the judging process
► Managing the judging process so that critical deadlines are met by the panel(s)
► Aggregating judge information for promotional/credit reasons

Helpful skills:
► Previous people management and festival judging experience
► Familiarity with creating schedules

Volunteer Manager:

The Volunteer Manager will be responsible for managing the volunteer contingent for Play by Play 2019. Volunteers are crucial to the operation of the festival, and we require an organiser to make sure they’re being looked after.

The Volunteer Manager would be taking ownership of the following responsibilities:

► Advertising and filling volunteer roles needed by the festival appropriately
► Maintaining a good, open communication channel with the volunteers, as well as addressing any of their needs or concerns
► Scheduling the volunteers for roles during the week in tandem with the directors
► Providing necessary onboarding or training for the volunteers as to how to perform their duties (this will be in-person)
► Creation of any onboarding materials needed for the volunteers

Helpful skills:
► Previous event management and/or people management experience
► Familiarity with creating schedules
► Strong copywriting skills
► Transport within the city

Conference Manager:

The Conference Manager is responsible for logistics of executing the 2019 conference, including venue, volunteer and speaker wrangling to ensure a smooth experience for attendees.

The Conference Manager would be taking ownership of the following responsibilities:

► Physical supervision of the conference with the directors on the conference day
► Planning venue layout and conference resource requirements
► Communicating with the conference speakers to collate slides, meet their needs & relay messages from the festival
► Setup and run the conference ticketing page
► Liaising with the Volunteer Manager regarding staffing and volunteer scheduling, and the Media Designer regarding badge production
► Other sundry conference tasks alongside other staff + volunteers (badge stuffing, etc.)

Helpful skills:
► Previous event management and/or people management experience
► Familiarity with presentation tech. (Keynote, Google Slides etc.), event management pages (LilRegie)
► Great communication skills
► First Aid qualification is a bonus (though not necessary, as the festival will upskill required members)

Social Media Manager:

The Social Media Manager is a large role and will be responsible for the outwards facing profile of the festival, both in the lead up to and during the event in 2019. Our priority is light-hearted, fun engagement with festival goers and potential attendees, and we’re open to any initiatives or social media projects the SMM may want to undertake.

The Social Media Manager would be taking ownership of the following responsibilities:

► Maintaining a visible and active presence on Twitter, Facebook and soon, Instagram – during the festival and in the lead-up to
► Creating a social media schedule leading up to the festival
► Updating the website (WordPress frame) with provided up-to-date information
► Coordinating with the directors & Media Designer if assets are needed (unless applicant has graphic design ability – PS, Illustrator – which would be fab)
► Coming up with creative ways to engage with Play by Play’s audience, which we will assist in facilitating regarding resources
► Continuing on a fantastic .gif game

Helpful skills:
► Previous experience copywriting or in writing/journalism fields a big bonus
► Familiarity with PBP’s social platforms (WordPress, FB, Twitter, YouTube – others a bonus)
► Strong copywriting skills
► Experience creating social media schedules
► Social analytics experience a bonus

Event Manager:

The Event Manager is a new role to 2019 and will entail assisting scheduling and executing the festival’s week-long array of satellite events with the team. Play by Play encompasses events from many spheres, and the Event Manager will help us keep tabs on them all, set them up and reign ’em in.

The Event Manager would be taking ownership of the following responsibilities:

► Designing the festival’s week-long schedule
► Assist directors in deciding which events to execute and identifying areas for growth
► Creating budgets for events & assessing costs of running
► Communicating with any outside parties who may be assisting us with events
► Liaising with the Volunteer Manager & Media Designer regarding volunteer requirements & promotional needs

Helpful skills:
► Previous event management and/or people management experience
► Previous producer/project management skills
► Experience creating schedules & budgets

Exhibition Coordinator:

The Exhibition Coordinator is a new role to 2019 and will entail overseeing the layout, setup and supervision of the popular Play by Play interactive exhibition.

The Exhibition Coordinator would be taking ownership of the following responsibilities:

► Share physical supervision role of the exhibition with the directors throughout the festival week
► Planning layout and budget of the exhibition alongside the directors – physical layout, special technical needs, accessibility needs, design needs
► Scheduling events for the exhibition space
► Liaising with the Volunteer Manager & Judging Coordinator regarding staffing and technical requirements for the exhibition

Helpful skills:
► Previous event management experience
► General design skills
► Strong technical knowledge of peripherals + platform setups

Awards Night Coordinator:

The Awards Night Coordinator is a new role to 2019 and will entail overseeing developing the runsheet, organisation, layout and setup of the Awards Night.

The Awards Night Coordinator would be taking ownership of the following responsibilities:

► Physical supervision of Awards Night setup and sound tests (Saturday), as well as the event itself
► Planning layout and budget of the awards night alongside the directors – physical layout, venue, special technical needs, accessibility needs, media needs
► Developing the runsheet for the event

Helpful skills:
► Previous party organisation or event management experience
► General design skills
► Previous experience with runsheets & installation setups

Video Editor:

The Video Editor is a new role to 2019 and will entail producing primarily the 2019 Awards videos, though a couple of other odd video jobs may pop up.

The Video Editor would be taking ownership of the following responsibilities:

► Producing and exporting the 2019 Awards videos – an overview video, and each category announce/winner video
► Consulting with the directors and Judging Coordinator during video production
► Experience with motion/graphic design a big plus!

Helpful skills:
► Strong Premiere skills – After Effects a bonus
► Good communication skills
► Previous demonstrated experience of video editing
